The part-time Program Manager is an integral part of handling the administrative requirements of the ministry, both day-to-day and in support of retreats and other activities.  The person in this 20-hour per month (flexible, actual time will vary per month) position reports to the Seeking Stillness Executive Director and works closely with the Board. On-site support of retreats is not a part of this position.  Attendance at quarterly Board meetings is desirable, but not required. This person will be supplied with a computer and will be expected to work from home. There is a distinct possibility that the scope and hours of this position could grow as the ministry grows.



  • Maintain all current information in Little Green Light
  • Setup retreat registration forms in Little Green Light
  • Receive and process registrations via Little Green Light
  • Pull reporting from Little Green Light as needed
  • Coordinate with facilities (registrant numbers, dietary issues, massages, rooming arrangements, meeting room setup and requirements…)
  • Communicate with registrants for all service offerings
  • Act as point of contact for general inquiries on Seeking Stillness, including spiritual direction
  • Manage payments and deposits
  • File state and federal reporting for taxes, employment etc.
  • Handle insurance
  • Coordinate with bookkeeper on any questions she has on registrations
  • Organizing board meetings
  • Orient new board members
  • Research the requirements associated with new projects (employment, sales tax, copyrights, etc.)


  • Announce retreats and other activities
  • Create and distribute newsletters several times a year
  • Create retreat events in Facebook and promote via boosts
  • Maintain and refresh the website
  • Post weekly on Facebook page
  • Promote retreats with network of churches
  • Market and sell packaged retreat materials
  • Maintain databases
  • Redesign/maintain website
  • Perform outreach to new audiences – churches etc.
